# Your first consult

> Record a consult, have Aria write the note, check it, finalise it and paste it into your practice software, all on one page

## Overview

This page takes you through one consult from start to finish. It is the quickest way to get going with Aria Scribe, and everything you need for a normal day is here.

Each step links to a fuller page if you want more detail later.

## Before you start

* Use **Google Chrome** or **Microsoft Edge** on the computer in your consult room.
* Sign in to the Pear Portal on that computer, not inside a remote desktop session. A remote desktop cannot hear the microphone on your desk.
* Have the patient's agreement to record. Pear's [patient information sheet](https://portaldocs.peartelco.app/aria-scribe/patient-information-sheet.md) can help with that conversation.

## Seven steps from consult to note

**1. Start the recording**

Go to **Aria Intelligence** then **Scribe** in the left menu, and click **Record this consult**. The same button sits in the top bar of every page, so you can start from anywhere in the portal.

The first time you record, the browser asks to use your microphone. Click **Allow while visiting the site**, so you are not asked every time.

Seeing the patient over video instead? Click **Video consult**. See [Recording a video consult](https://portaldocs.peartelco.app/aria-scribe/recording-a-consult.md#recording-a-video-consult).

**2. Confirm consent**

The **Before you record** window appears. Check that the patient has agreed, then click **Confirm and record**. Recording does not start until you do.

Your confirmation is recorded against your name with the time. See [Consent and privacy](https://portaldocs.peartelco.app/aria-scribe/consent-and-privacy.md).

**3. Talk as you normally would**

The recording panel shows **Recording** and a running timer. **Saved through** tells you how much has already been stored safely, so nothing is lost if the internet drops for a moment.

There is no need to speak differently or dictate to Aria. Just have the consult. Click **Pause** if you need to step out, and **Resume** to carry on.

In Chrome and Edge the panel also opens as a small floating window that stays on top, so you can work in your practice software and still see the timer.

**4. Stop and name it**

When the consult is over, click **Stop and save**. Type a name that will help you find it later, such as the reason for the visit, and click **Save**.

![Recording panel with a Name this consult box filled in as ACL Injury, with Skip and Save buttons](https://mintcdn.com/pearaustralia/MIB3yHJBVtOo3JBZ/images/scribe-recording-name.png?fit=max\&auto=format\&n=MIB3yHJBVtOo3JBZ\&q=85\&s=b0e3041fa9cf3c8999c2991417abab53)

The consult appears on your Scribe list as **Transcribing**, then **Ready to write up** once Aria has the transcript.

**5. Ask Aria to write the note**

On the Scribe list, click **Write it up** on your consult. Choose a prompt, which tells Aria what kind of document to write. **Medical practice file note** is a good place to start. Then click **Write note**.

![Write a clinical note window asking Which prompt should Aria use, with Medical practice file note selected and a Write note button](https://mintcdn.com/pearaustralia/CLjWX8U2rsVG3UJA/images/scribe-qs-picker.png?fit=max\&auto=format\&n=CLjWX8U2rsVG3UJA\&q=85\&s=f8ddf6e61da8c3525bef3bc3203dd6db)

Tick **Make this my default prompt** if you want it chosen for you every time. Want a letter instead? Pick **Letter to the referring doctor** or **Referral letter to a specialist**.

**6. Check the note**

The draft opens with the transcript alongside it. Read the note against what was said. If a word looks wrong, use the player above the transcript to listen back.

![A draft note in the editor with Save, History, Finalise and Write another at the top and the transcript on the right](https://mintcdn.com/pearaustralia/CLjWX8U2rsVG3UJA/images/scribe-qs-note-draft.png?fit=max\&auto=format\&n=CLjWX8U2rsVG3UJA\&q=85\&s=63929cd3f6d8cf92a7b9259767c29a86)

Click into the text to change it, then click **Save**. To have Aria reword a passage, select it and choose **Rewrite**, **Shorten**, **Expand**, **More formal** or **Bullets**.

> [!WARNING]
>
> Aria is good, and it is still a machine. A name, a dose or a side can come out wrong. The note is yours, so check it before you finalise.

**7. Finalise and copy it into your practice software**

Click **Finalise**. This records that you have reviewed the note, and the text becomes read only. Then click **Copy** and paste the note into the patient's record in your practice software.

![A finalised note with a green Finalised badge and the Copy button available](https://mintcdn.com/pearaustralia/CLjWX8U2rsVG3UJA/images/scribe-qs-note-finalised.png?fit=max\&auto=format\&n=CLjWX8U2rsVG3UJA\&q=85\&s=59bba6c038e30c14364dcf5022b9de8f)

The consult then drops off your Scribe list. You can always find it again by searching, or by clicking **Finished**.

That's it. Your next consult works exactly the same way.

## Handy to know

* **You do not have to write it up straight away.** Record your consults through the session and write them up at the end. Everything waits on your Scribe list.
* **One consult can produce several documents.** Click **Write another** to add a letter as well as the file note. See [Writing notes and letters](https://portaldocs.peartelco.app/aria-scribe/writing-notes-and-letters.md).
* **Dictating instead?** Click **Dictate** in the top bar. There is no consent step, because only you are recorded. See [Dictation](https://portaldocs.peartelco.app/aria-scribe/dictation.md).
* **A person always files the note.** Aria never writes into your practice software on its own.

## When something goes wrong

**The Record this consult button is not there.**

Consult recording needs to be switched on for your practice. Contact Pear Support using the **Support** link in the left menu.

**The recording will not start, or the timer runs but nothing is heard.**

Check that the browser is allowed to use the microphone, and that the right microphone is chosen. See [When a recording will not start](https://portaldocs.peartelco.app/aria-scribe/recording-a-consult.md#when-a-recording-will-not-start).

**I can't click Finalise.**

Save your changes first. If an amber bar above the note asks you to confirm consent, click **Confirm and continue**, then **Finalise**.
