Overview

There are three ways to pass a call on, and it’s worth knowing all of them:
  • Park the call: put it in a shared parking spot (Park 1, Park 2, and so on) that any phone can pick up. This is the everyday choice in busy practices: the caller waits safely while you find whoever they need, wherever they are.
  • An announced transfer (also called attended) lets you speak to your colleague first (“I’ve got Sarah on the line, can you take it?”) before connecting the caller.
  • A blind transfer sends the call straight through without speaking to your colleague first. Quick, but they get no warning about who’s calling.
Park when the call is for “whoever’s free” or someone away from their desk. Transfer when it’s for one specific person. When in doubt, announce, so the caller only has to explain themselves once.

Parking a call

  1. During the call, look at your park keys and find a green (free) spot, for example Park 1.
  2. Press that park key. The call is parked, and Park 1 turns solid red on every phone in the office.
  3. Let your colleagues know: “Call on Park 1.”
To pick the call up from any phone, press the park key that’s showing red.
Park keys on a T54 with green lights when free, and Park 2 shown red with a parked call

Green means the spot is free. When a call is parked there, the key turns red: here Park 2 has a call waiting

If nobody collects a parked call within a few minutes, it rings back to the phone that parked it, so callers are never stranded.

Announced transfer

  1. During the call, press the Transfer key (or the Transfer soft key). The caller is placed on hold.
  2. Dial your colleague’s extension and press the Call button.
  3. When they answer, let them know who’s calling.
  4. Press Transfer again to connect the caller through, then hang up.
If your colleague doesn’t want the call (or doesn’t answer), press the Cancel or Resume soft key to go back to the caller.

Blind transfer

  1. During the call, press the Transfer key (or the Transfer soft key).
  2. Dial your colleague’s extension.
  3. Press the B Transfer soft key (or press the Transfer key again). The call is sent immediately and drops off your phone.
You can also transfer to a contact instead of dialling. After pressing Transfer, open the Directory and pick the person. And if you have a speed dial key for your colleague, pressing it during a call transfers straight to them. See Speed dial & busy lamp keys.

Transferring to a mobile or outside number

Transfers aren’t limited to extensions. You can transfer a caller to any number, including a mobile. Follow the same steps and dial the full number instead of an extension.

Frequently asked questions

Should I park or transfer? Park when you don’t know who’ll take the call, or the person is away from their desk: anyone can grab it from any phone. Transfer when the call is for one specific person at their phone. What happens if the person I transfer to doesn’t answer? With an announced transfer, you’ll know, because you’re still on the line, so press Cancel or Resume to take the caller back. With a blind transfer, the call follows your colleague’s settings, usually ringing through to their voicemail. Can I transfer a call I’ve already put on hold? Yes. Resume the call first, then press Transfer and carry on as normal. All my park keys are red and I have another call to park. All spots are in use. Put the call on hold until a spot frees up, or transfer it directly to someone. If your office regularly runs out of spots, contact support and we can add more.
