Overview

The Fax Mailbox is where you manage all your fax activity. Open it by clicking Fax in the left menu. There are five tabs across the top:

If the page shows a “not configured” message, your practice does not have a fax number set up yet. Contact Pear Support using the Support link in the left menu.

Inbox

The Inbox shows every fax that has been delivered to your fax number.

What the columns mean

Filtering the inbox

You can narrow down the list using the filters at the top:
  • From date / To date — only show faxes that arrived between two dates
  • From number — only show faxes from a particular number (you can type part of the number)
Click Clear to remove the filters and show everything again.

Opening a fax

Click the eye icon on any row to open the fax as a PDF in a new browser tab. You can read it there or print it straight from the browser.

Downloading a fax

Click the download icon on any row to save the PDF to your computer.

Deleting a fax

Click the bin icon on any row. A confirmation box appears asking if you are sure. Click Delete to remove the fax, or Cancel to go back.
Deleted faxes are gone permanently. There is no way to get them back.

Deleting several faxes at once

  1. Tick the checkbox on the left of each fax you want to delete (or tick the checkbox in the column header to select every fax on the page)
  2. A red Delete X selected button appears above the table
  3. Click it, then click Delete in the confirmation box

Sent

The Sent tab shows every fax that has been successfully delivered, whether you sent it from the portal or by email-to-fax.

What the columns mean

Filtering sent faxes

Use the filters at the top to find a specific fax:
  • From date / To date — filter by the date it was sent
  • Sender — filter by who sent it
  • To number — filter by the destination number
  • Subject — search by subject or file name
  • Sent by — filter by the sender’s name
Click Clear to remove all filters.

Viewing and downloading

The eye icon opens the fax as a PDF. The download icon saves it to your computer.

Deleting a sent fax

Click the bin icon on any row and confirm in the pop-up box.

Deleting several sent faxes at once

Tick the checkboxes on the rows you want, then click the red Delete X selected button that appears above the table.

Queue

The Queue shows faxes that are waiting to be sent or are currently being transmitted.

The queue updates automatically as faxes are sent. Once a fax is delivered it moves to the Sent tab by itself.

If a fax shows “Failed”

  1. Click the Retry button on that row
  2. The fax goes back into the queue and tries again
  3. Watch the Status column to confirm it changes to Sent

Cancelling a queued fax

Click the bin icon on the row and confirm when asked. The fax will not be sent.
Deleting a queued fax is permanent. It will not be sent and cannot be recovered.
